The period of enforcement – It includes a set of timelines by which the conditions must be met.

The implications of failing to comply – It must explicitly address the clause that was violated. It should specify what consequences the defaulter may face if it is not corrected within a stipulated period of time.

A formal legal letter format can help you deliver your message professionally. Use it to convey the concerns you’d like the opposition to address or all of the information you’d like to discuss with them.

You may need to remark on a court case or contractual disagreement or extend the framework of an existing contract. When writing a legal letter, consider the following steps to make writing easy and effective.

1. Write the introduction of the letter

Make sure to write the full name and address of the person you’re writing to. This should go at the top of the letter with the date you intend to mail the letter.

To ensure legibility, choose a standard typeface and black ink. Make sure to address the opposite party with a courtesy title and name. When you don’t know the recipient’s identity, start the letter with “Dear Sir/Madam” or “To Whom It May Concern.”

2. Cite enclosures and state your reason for writing the letter

Citing enclosures in the introductory paragraph helps the readers go through the attachments first. It lets the other party confirm that you sent and reviewed them before continuing.

Give the rationale for writing the letter and the specifics of the situation. Include the names of any other parties involved, if necessary, as well as the specific dates of occurrences or contacts. It’s best if you have as much relevant content as possible.

3. State your objectives and legal requirements.

Cite any laws related to the case or those that apply to your legal letter. Explain why such laws are relevant to your letter’s purpose and what matters to you. Also, state your goals and expectations for drafting the letter. Finally, include a precise time frame for a response to your letter before taking any further action.

4. Proofread your letter for errors

It is essential that you proofread your letter to keep the final draft short and free of errors. A letter with grammatical or structural errors will not look professional to the reader.

Remove any passive verbs, irrelevant words, and phrases. Sign and date the bottom of the page after proofreading. It’s recommended that you send the letter the same day you have written it.
