Formal Offer Letter: Responding to Recruitment

Congratulations! You’ve gotten the job. Now what’s next? At this point, the company that hired you may have sent you a formal offer letter.

What’s Included in a Job Application Letter?

Depending on each situation, there are different job offer letters that employers send. Once you have your formal offer letter it should have several things we’ll discuss below.

Your Job Title

This lets you know what you’ll be doing at the company. It will sound something like “as the [insert your job title], you responsibilities include [whatever you’ll be doing at the company].

Duties

On of the first is a description of your duties. The boss should write that they can hire you for your experience level. They should add that they are able to train you to any new positions that are incoming.

Compensation

The next section is wage information. The boss should describe your pay raise or if you will be on a different salary schedule.

It should have your starting salary for this position and the terms by which you’ll be paid, i.e.[weekly, biweekly, monthly, etc.

Make sure things like vacation time are mentioned, so that there aren’t any surprises down the road.

Additional compensation should be outlined.

Legalities

Your offer letter should have an expiration date. You should talk to a lawyer and have them review your offer letter and verbiage to avoid potential legal implications.

Who You Will Report To

It’s likely that you will have a boss. Your offer letter tells you who this person is. It will tell you this person’s name and where you’ll be working.

Working Hours

Your working hours will be listed here. Arrangements for overtime compensation should be mentioned.

Can an Employer Take Back a Formal Offer Letter?

The short answer to this question is “Yes”. An employer can take back a job offer after you have accepted it. They don’t have to provide a reason for that decision.

What to Do When You Receive Your Job Letter

To accept an offer, a candidate must sign and return a job offer letter as a formal acceptance of the position. If a job offer is contingent on you completing tasks, make sure you can complete them before accepting.

If you reject a job offer, do this in a professional manner. Use a formal letter thanking the company. Include a reason for your rejection of the offer.
